Creating Events

Step-by-step guide to creating, editing, and managing events in SYNTHET. Learn how to set up event details, schedule recurrence, and configure options.

Event Creation Flow

Creating an event involves several steps, each configuring different aspects of the event. You can save at any step and come back to finish later.

Step 1: Basic Event Information

Start by entering the fundamental details about your event:

Event Title

The main name of your event. Be clear and descriptive so members know what to expect.

Examples: "Weekly Game Night", "Community Town Hall", "Server Birthday"

Event Type

Categorize your event by type using SearchableSelect:

  • • Announcement
  • • Holiday
  • • Milestone
  • • Game Event
  • • Community
  • • Maintenance
  • • Meeting
  • • Custom

Description

Detailed explanation of what the event is about. Supports markdown formatting for rich text.

Include information like: what will happen, who should attend, what to bring/prepare, special instructions, etc.

Color/Theme

Choose a color for the event in calendar views. Helps with visual categorization and differentiation.

Step 2: Date, Time & Duration

Set when your event takes place with precise time controls and timezone support:

Start Date & Time

Click the datetime picker to choose when the event begins. Includes both date and time selection.

Duration

Specify how long the event lasts (in hours and minutes). Used for:

  • • Calculating end time automatically
  • • Reminder scheduling
  • • Duration display in calendar

Timezone

Select the timezone for this event. Members in different timezones will see the event adjusted to their local time.

Common choices: UTC, US Eastern, US Pacific, Europe/London, Asia/Tokyo, etc.

Timezone conversion helps global communities. Set the event in your server's primary timezone and SYNTHET handles conversions.

Step 3: Event Images

Upload images to make your events visually appealing:

Event Thumbnail

Small square image shown in event lists and calendar cells. Recommended: 256x256px or square aspect ratio.

Supports PNG, JPG, WebP. Maximum 5MB.

Event Banner

Large landscape image shown at the top of event detail pages. Recommended: 1200x400px or 3:1 aspect ratio.

Supports PNG, JPG, WebP. Maximum 10MB.

Drag & Drop Upload

Click the upload area or drag-and-drop image files. Preview appears immediately.

Step 4: Event Channel & Announcements

Configure where your event information gets posted and how members are notified:

Create Event Channel

Toggle to automatically create a dedicated channel for this event. Channel will be:

  • • Named after the event (with event timestamp)
  • • Available for discussion and coordination
  • • Auto-archived after event ends

Announcement Channel

Choose a channel to post the event announcement. Uses SearchableSelect dropdown.

Typically: #announcements, #events, #general, or a custom events channel

Post Event Announcement

Toggle to automatically post event details in the announcement channel when created.

Post includes event title, time, description, RSVP button, and banner.

Step 5: RSVP Configuration

Set up how members can respond to your event:

Enable RSVP

Toggle RSVP on/off. When enabled, members can respond with "Going", "Interested", or "Not Attending".

RSVP Limit

Optional: Set maximum number of people who can RSVP "Going". Useful for capacity-limited events.

Leave empty for unlimited RSVPs.

Anonymous RSVPs

Toggle to allow members to RSVP anonymously without revealing their identity in the RSVP list.

RSVP Deadline

Optional: Set a deadline for RSVPs. Members cannot RSVP after this time.

Step 6: Reminder Settings

Configure automatic reminder messages to be sent before the event:

Enable Reminders

Toggle reminders on/off. When enabled, SYNTHET will send notifications at specified times.

Reminder Times

Choose when reminders are sent (multiple options):

  • • 1 week before
  • • 3 days before
  • • 1 day before
  • • 1 hour before
  • • Custom time (days/hours before)

Reminder Channel

Where reminder messages are posted. Uses SearchableSelect dropdown.

Typically same as announcement channel or a dedicated reminders channel.

Reminder Message

Customize reminder message text. Supports markdown and dynamic event variables.

Step 7: Recurrence Pattern (Optional)

Set up recurring events that repeat on a schedule:

Recurrence Type

Choose from predefined patterns or custom:

  • • None (one-time event)
  • • Weekly (same day each week)
  • • Bi-weekly (every 2 weeks)
  • • Monthly (same date each month)
  • • Yearly (same date annually)
  • • Custom (specify day/time pattern)

Recurrence End

When should recurring events stop? Options:

  • • Never (continues indefinitely)
  • • After N occurrences (e.g., 10 times)
  • • On specific date (e.g., December 31)

Day Selection

For weekly/custom recurrence, choose which days. Checkboxes for Mon-Sun.

Using Event Templates

Speed up event creation with pre-built templates. Select a template during creation and customize the fields:

Welcome Event Template

Pre-configured with welcome message, intro channel creation, member role assignment

Game Night Template

Includes voice channel creation, game selection, duration for typical gaming sessions

Community Meeting Template

Setup for discussions, RSVP tracking, agenda sharing, meeting notes channel

Holiday Celebration Template

Festive theme colors, announcement channel, celebration channel, extended duration

Editing Existing Events

Edit any event details anytime before or after it occurs. Click the event and select "Edit":

Editable Fields

Title, description, date/time, images, RSVP settings, reminder times, color/theme

Notification Options

When editing events, you can:

  • • Update event announcement post automatically
  • • Notify RSVPs of changes
  • • Post edit notification to event channel

Recurring Event Updates

For recurring events, choose whether changes apply to:

  • • This event only
  • • This and future events
  • • All events in the series

Canceling Events

If you need to cancel an event, SYNTHET notifies all interested members:

Cancellation Process

Click event → Click "Cancel Event" button

Cancellation Notification

Members are notified via:

  • • Post in event announcement channel
  • • DM to members who RSVPed "Going"
  • • Post in event-specific channel (if created)

Cancellation Message

Write a custom cancellation reason/message explaining why the event was canceled.

Bulk Event Creation

Create multiple events at once for calendars and schedules:

Import Calendar

Import events from a CSV file or calendar feed (ICS format)

CSV Format

Expected columns: Title, Date, Time, Duration, Description, Type

Preview & Confirm

Review imported events before creation. Fix any issues and confirm.

Event Creation Best Practices

  • • Use clear, descriptive titles that immediately convey event purpose
  • • Include timezone info in description for global communities
  • • Upload both thumbnail and banner for visual appeal
  • • Set RSVP to gauge attendance and plan accordingly
  • • Configure reminders at reasonable times (not too early or late)
  • • Use recurring events for regular activities to reduce manual work
  • • Create dedicated event channels for larger or important events
  • • Post announcements in high-visibility channels
  • • Review RSVPs before event and send personalized reminders if needed
  • • Gather feedback after events to improve future gatherings
